# Manage Jobs

### Manage Jobs

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs

**Manage Jobs** gives you a centralised view of all job openings. From here you can track job status, manage applications, publish or unpublish jobs, archive them, and follow specific openings — all from one place.

**Overview of the Manage Jobs Page**

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs

The Manage Jobs page displays all job openings organised across four tabs:

* All Jobs
* My Jobs,
* Archived Jobs
* Followed Jobs

**A Career Page link is available at the top right to view how your jobs appear publicly.**

**Filters:**

The following filters are available across all tabs:

* **Search Job** — Type a job title, job code, or keyword to find a specific job. The list filters automatically as you type.
* **Publish Status** — Filter jobs by Published or Unpublished status.
* **Sort By** — Sort the job list by your preferred criteria.
* **Show Filters** — Check this box to expand the Control Panel on the left with the following additional filters:
  * **Job Type** — Filter by Permanent, Part Time, Temporary, Direct Contract, Contract, or Freelancing.
  * **City** — Search and select one or more cities to filter jobs by location.
  * **Minimum Education** — Filter by required education level (e.g., 10th Pass, 12th Pass, B.A., B.Com).
  * **Experience** — Use the slider to set a minimum and maximum experience range.
  * **Salary Range** — Use the slider to filter jobs within a specific salary range.

**View Types**

Use the view toggle icons at the top right of the page to switch between three display formats:

* **List View** — Displays jobs as individual cards stacked vertically, showing full job details at a glance.

* **Table View** — Displays jobs in a row-based table with columns for Job Title, Add On, Experience, Location, Salary, Overview, Entity, and Actions.

* **Kanban View** — Displays jobs organised by department in columns, with job cards within each department column.

### **All Jobs**

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs > All Jobs

**Important Note:** The "**All Jobs**" tab is visible only to users who have access assigned through Role Allocation in the cloud.

**Step 1:** Click on the **All Jobs** tab to view all jobs.

**Step 2:** Use the **filters** and **view** toggles to find and organise jobs as needed.

**Step 3:** To **publish** or **unpublish** a job, click the **Publish Status** dropdown on the job card and select Published or Unpublished.

**Step 4:** To **edit** a job, unpublish it first if it is currently published, then click the **Edit icon**.

The Job Creation Page will open across five tabs:

&#x20;fill in the details as follows:

* **Basic Details** — Job Title, Department, Hiring Managers, Recruiters, and Interview Panel are mandatory. Fill in any additional fields as per your requirement.

* **Requirements and Compensation** — All fields are optional and customisable. Fill in as per your requirement.

* **Description and Responsibilities** — Short Job Description and job description are mandatory. Fill in Job Responsibilities as per your requirement.

* **Application Settings** — Job Stage Template is mandatory. Fill in any additional fields as per your requirement.

* **Screening Questions:**

**Screening Questions** are questions candidates must answer when applying for a job. They help recruiters filter out unsuitable applicants early and ensure only relevant candidates move forward.

* Filter out unqualified candidates early.
* Save time on manual application review.
* Ensure consistent evaluation across all applicants.
* Customise filters based on role-specific needs.

**Screening Questions** are fully optional.

Click **Save and Proceed** to save, or **Save as Draft** to return later.

**Step 5:**

* To **archive** a job, click Archive on the job card. The job will move to the Archived tab.
* To **follow** a job, click Follow on the job card. The job will be added to your Followed Jobs tab.

### My Jobs

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs > My Jobs

**Important Note:** The "**My Jobs**" tab is visible only to users with access granted via Role Allocation in the cloud. A user will see a job here only if they either have:\
a. Created the job\
b. Been assigned as a recruiter for the job\
c. Been assigned as the hiring manager for the job\
d. Been assigned as an interviewer for the job.

**Step 1:** Click on the **My Jobs**tab to view your assigned jobs.

**Step 2:** Use the **filters** and view **toggles** to find and organise jobs as needed.

**Step 5:**

* To **archive** a job, click Archive on the job card. The job will move to the Archived tab.
* To **follow** a job, click Follow on the job card. The job will be added to your Followed Jobs tab.

### Archived Jobs

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs > Archived

**Important Note:** The "**Archived Jobs**" tab is visible only to users who have access granted through Role Allocation in the cloud.

**Step 1:** Click on the **Archived Job** tab to view all archived jobs.

**Step 2:** Click **Unarchive** to restore the job, this brings the job card back to **all jobs** page.

**Step 3:**

* To **edit** a job, click Edit on the job card.

* Change the **Publish Status** to **Published** to bring it back live on the Career Portal directly.

### Followed Jobs

**Path:** ESS Portal > Hire V2 > Jobs > Manage Jobs > Followed Jobs

**Important Note:** This tab displays only the jobs you are personally following. Use it to keep an eye on specific jobs without searching for them every time.

**Step 1:** Click on the **Followed Jobs** tab to view all jobs you are following.

**Step 2:** To **publish** or **unpublish** a job, click the Publish Status dropdown on the job card and select Published or Unpublished.

**Step 3:** To **edit** a job, unpublish it first if it is currently published, then click the **Edit** **icon**.

**Step 4:** To **archive** a job, click Archive on the job card.

**Step 5:** Click **Followed** (highlighted in blue) on a job card to **unfollow** the job and remove it from this tab.

### Job Card

Each job is displayed as a card with the following details:

* **Job Title and Job Code** — The name and unique identifier of the job.
* **Experience** — The required experience range.
* **Salary** — The salary range offered.
* **Openings** — The number of open positions.
* **Location and Company** — The job location and company name.
* **Publish Status** — Whether the job is Published or Unpublished.
* **Timestamp** — When the job was last updated.
* **Applications received** — Total number of applications received.
* **Qualified Candidates** — Number of candidates marked as qualified.
* **Hired** — Number of candidates hired for the job.

### Job Card Actions

**Publish / Unpublish**

Click the Publish Status dropdown on the job card and select Published to make the job live on the Career Portal, or Unpublished to take it down.

**Important Note:** To edit a published job, you must unpublish it first, then click Edit.

**Edit**

Click the Edit icon on the job card to open the Job Creation Page. The same five-tab flow applies — fill in mandatory fields and update any additional fields as per your requirement. Click Save and Proceed to save, or Save as Draft to return later.

**Archive**

Click Archive on the job card if you no longer want the job to appear on the Career Portal. The job will move to the Archived tab where you can still track it.

**Follow**

Click Follow on the job card to add it to your Followed Jobs tab and keep track of it easily.

**Bulk Actions**

Check the **checkbox** on one or more job cards, or click **Select** **All** to select all jobs on the page. The **Bulk** **Actions** dropdown will appear — click it and choose one of the following: **Publish, Unpublish, Archive, Follow, or Unfollow**.

### How to Integrate the Career Portal into Your Website?

The **Career Portal** is a ready-to-use job listing page provided by **Pocket HRMS**, where all your published job openings appear in one place. Candidates can browse your open roles and apply online, and their applications flow directly into your Hire V2 recruitment module.

This guide explains how to access your Pocket HRMS Career Portal link and integrate it into your company website. Once integrated, candidates can easily view job openings and apply directly through your website.

**Why Integrate the Career Portal?**

Integrating the Career Portal into your website lets candidates view your published job openings and apply directly from your own site. This streamlines hiring by sending applications straight into your Pocket HRMS recruitment module, while keeping the entire experience on your company's website.

**Before You Begin**

Before you start, ensure the following:

* **The Hire V2 module is enabled in your Pocket HRMS account**
* **Your job openings are created and published**
* **You have access to ESS or Admin (Cloud) settings**
* **You (or your website administrator/developer) can edit your website**

### **How to get your Career Portal link?**

You can get the link using any one of the following methods.

&#x20;

**Method 1: From the Careers section (recommended)**

**Path:** ESS Portal > Hire V2 > Careers > Visit Career Portal.

**Step 1:**  Log in to **ESS Portal**, open the **Hire V2** module, go to **Careers**, and click **Visit Career Portal**.

### How to add the Career Portal to Your Website?

**Step 1:** Decide where candidates will access the career page from. Common options are:

**·       Careers menu item in the header**

**·       "We're Hiring" button on the homepage**

**·       A link in the footer.**

**Step 2:** Share the copied Career Portal link with your website administrator or developer, and ask them to embed it in a button or menu item that redirects to the Career Portal. For example — button text "Careers", linking to your copied URL.

**Step 3:** **Publish** or **update** your website, and confirm the changes are live.

**Other Ways to Add the Link**

**1. Navigation Menu Integration**

Add the Career Portal link to your website's main navigation for easy access.

Place a prominent button like:

* **“We’re Hiring”**

**3. Embedded View (Advanced)**

If your website supports it, you may embed the Career Portal using an iframe.\

No jobs displayed — Confirm that your job openings are published.
