Guide for the process of Bulk KYC Verification
The Bulk PAN Verification process of Pocket HRMS lets you verify PAN for multiple employees at once, track the progress of the process, and download results easily.
This guide will walk you through the end‑to‑end workflow with screens and tips.
1. Access & Navigation
Path: Cloud > ESS Settings > Profile Info > Bulk KYC Verification
Note:
You can use the page header tabs at the top left of the screen to Download, open History, and Filter through the data.
The Credits left counter appears on the right, providing you a handy overview of the remaining credits.

2. Filtering & Selecting Employees
Following are the steps to filter and select employees:
Step 1: Choose one of the quick filters: All, Verified, or Not Verified.
Step 2: Use the search box or the 'Filter' icon to narrow by employee or their attributes (optionally).
Step 3: Select employees via the row checkboxes or use the top-left master checkbox to select all rows on the page.
Note: Only unverified entries are shown when you click the 'Initiate' button.
3. How to initiate Verification?
Step 1: Click on the 'Initiate' button to start the KYC verification for the selected employees.
Step 2: During processing, a loading icon appears on the row and displays the message 'Initiated'.
Note:
You’ll get notifications when the job starts and completes.
The status icons update automatically.

4. Understanding Status Icons
Following are the status indicators for the status of verification:
Grey (Not initiated): No verification attempt has been made for the record.
Green (Initiated & verified): PAN is verified successfully.
Red (Initiated, but not verified): PAN failed verification, check for incorrect details and retry.
Orange (Modified after verification): Employee details changed after verification; you should consider reinitiating verification with current details.
5. History & Audit
You can open the 'History' view to see past runs, start and end times, along with results. You can also use the 'Preview' option, if available, to see which employees were included in the run.
To view history and audit the data:
Click on the 'History tab' and it should show the 'Initiation' history and the completion status of each request along with excel download and preview options.

Clicking on the ‘Preview’ option opens another slider popup showing the details of employees who were included in the initiation request.

6. Downloads
Use the 'Download' option on the main page to export the on‑screen results to Excel.
From the History option, you can download the output file for a selected run.

7. Best Practices & Troubleshooting
Use the 'Not Verified' filter to focus on pending PANs and conserve credits.
If a run is already in progress, you should wait for its completion, as you will be able to see loaders and the status as 'Initiated'.
If the status tooltip shows 'Data changed after verification', you should update the source data and reinitiate verification.
You should ensure that you have sufficient 'Credits' before initiating large batches of verification.
