We are thrilled to present our Monthly Update, with enhanced user-friendly tools to elevate your HR experience. Our commitment to innovation and efficiency drives us to bring you seamless updates that transform your HR processes. For the month of May 2026, we have the following enhancements.

Overtime Limit Alerts

OT entries now warn users when they exceed the maximum OT hours. Inline alerts appear on the OT Entry Multi screen, and on saving, a modalshows all exceeded entries with options to Adjust to Limit or Proceed with Save. OT Reports also highlight exceeded entries for easy review, ensuring accurate tracking and full HR visibility.

OT Settings Validation

OT settings now ensure that each shift or category can have only one OT type (Time-Based or Working-Hours-Based). If a conflicting OT type is selected, an inline warning appears, and the system blocks saving. This prevents duplicate or contradictory configurations, keeps OT setups consistent, and ensures accurate tracking for payroll and reporting.

Appraisal Form Re-Submission

Employees or Managers can re-submit a completed appraisal at any required stage of the workflow. However, only Admin/HR users have the authority to execute the re-submit action, ensuring proper control and oversight. Both employees and managers can re-submit the submitted Appraisal Form. This keeps the appraisal process secure while allowing flexibility for corrections or updates.

Peer Credential Report for Appraisal

A new Peer Credential Report has been added for appraisals, allowing users to generate it directly from the Appraisal Peer screen by clicking the peer credential report button. The report includes Peer Code, Name, Designation, Email, Contact Number, and system-generated password, enabling Admin’s to quickly access and share peer login details for appraisals efficiently and securely.

Consolidated Appraisal – Summary Report Sheet

A new Summary Report sheet has been added to the Consolidated Appraisal Report. It provides employee-wise and stage-wise details, showing each stage’s rating and score percentage, along with the consolidated score and final rating. This allows HR and Managers to easily review appraisal performance and get a complete overview of each employee’s appraisal results in a single view.

KPI Status Report for Appraisal

A new KPI Report has been added under Appraisal Reports. Whenever KPI is enabled in the appraisal setup, users can access this report to view detailed KPI status for employees. It helps HR and Managers to track KPI performance effectively, review progress, and make informed decisions. The report is available for all user roles, ensuring transparency across the appraisal process.

Approval Matrix – Module Selection Enhancements

The Approval Matrix settings screen has been improved to make module selection faster and more user-friendly, especially when configuring multiple modules. A Select All option allows users to choose all modules in one click, and a selection counter shows the exact number of modules selected. If some modules remain unselected, a confirmation popup lists them for review, allowing users to update selections or proceed. These enhancements help reduce missed selections and make the setup process more efficient.

Employee Master Field Dependency Setup

A new Field Dependency feature allows HR to make employee master fields depend on one another, ensuring cleaner data entry and preventing invalid combinations. The feature supports two models:

Chain, a multilevel hierarchy where each field filters the next (e.g., Business Unit β†’ Department β†’ Team),

and Multi-Child, where multiple child fields depend on the same parent independently (e.g., Location controls Holiday Calendar, Shift Timing, and Local Policy). This setup guides HR users and improves accuracy during employee data entry.

Automatic Exit Interview Opening in Separation

Exit Interview Forms can now be automatically opened a set number of days before an employee’s Last Working Date, for separations initiated from both Cloud and ESS. Once opened, the form appears in the employee’s ESS Portal, reducing manual effort for HR. Previously, forms had to be manually opened for ESS separations. This update ensures timely availability of exit forms and streamlines HR processes.

Exit Interview Form Reminders to Employees

A new reminder configuration automatically notifies employees responsible for completing Exit Interview Forms. The first reminder is sent when the form opens, and subsequent reminders are sent up to the employee’s Last Working Day based on the defined frequency (e.g., every 2 days). Reminders stop automatically once the form is submitted, helping improve completion rates and reducing manual follow-up by HR.

Enhanced Exit Letter Configuration for Employees

The Exit Letter configuration now allows HR to send letters with greater flexibility during the separation process. Letters can be sent for ESS or Cloud Employee Separation, or after Full and Final Settlement, to either the employee’s official or personal email. Multiple letters can now be selected in a single configuration. Previously, sending multiple letters was limited to SMTP-based ESS separations. This enhancement gives HR more control over triggers, recipients, and letter selection.

FnF No Dues Clearance Reminders

A new reminder configuration automatically notifies Department Heads and HR responsible for completing an employee’s FnF No Dues Clearance. The first reminder is sent when the form opens, with additional reminders sent up to the employee’s Last Working Day based on the defined frequency (e.g., every 2 days). Reminders stop automatically once the clearance is submitted. This helps improve accountability, reduce delays, and minimize manual follow-up by HR.

Bulk Percentage-wise Increment Import

A new Bulk Import option allows HR teams to process percentage-wise increments for multiple employees at once. Previously, increments had to be applied individually, which was time-consuming. With this enhancement, HR can upload increment details via an Excel file, and the system applies the percentage to all eligible salary components for each employee. This reduces manual effort, improves processing speed, and makes managing large-scale increments more efficient.

Payroll Maker-Checker – Approval Timeline

A new Payroll History page provides complete visibility into the payroll approval process, allowing HR and Payroll teams to track the current status and review the approval flow for any payroll cycle. Users can filter by Payroll Month, Year, and Business Unit. The system displays who processed payroll, approval timestamps, and the current stage. A timeline view shows progress across Maker and multiple Checker levels, while past payroll cycles are maintained for easier review and improved audit readiness.

Odisha Professional Tax Repeal Compliance

As per the Odisha Gazette notification dated 21 April 2026, Professional Tax has been repealed in Odisha effective from 1 April 2026. Pocket HRMS automatically applies zero Professional Tax deductions for all employees mapped to Odisha PTax locations in May 2026 payroll and future cycles. If April payroll is deleted and reprocessed, the updated logic applies automatically. This ensures compliance from the start of the financial year and during payroll reprocessing without manual intervention.
