We are thrilled to present our Monthly Update, with enhanced user-friendly tools to elevate your HR experience. Our commitment to innovation and efficiency drives us to bring you seamless updates that transform your HR processes. For the month of July 2025, we have the following enhancements.
Regularization & On-Duty Limits by BU/Employee Wise (via Rule Engine)
The system now allows flexible Regularization and On-Duty limits by enabling configurations at two additional levels — Business Unit-wise and Employee-wise — in addition to the existing Company-wise setup. Previously, limits could only be defined at the company level, but now users have greater control and flexibility.
1. Business Unit-wise Limits:
Admins can assign different limits for each Business Unit based on roles.
Example:
Manager: On Duty – 1, Regularization – 1
HR: On Duty – 2, Regularization – 3
2. Employee-wise Limits:
Specific limits can be set for individual employees.
Example:
EMP0004: On Duty – 2, Regularization – 1
EMP0900: On Duty – 1, Regularization – 1
3. Rule Engine Controlled:
All configurations are handled through the Rule Engine. Setup details can be shared with the Development Team for implementation as needed.
Apply Category-Based L&A Rules via Rule Engine
What’s New:
Previously, Leave & Attendance (L&A) restrictions were company-wide with only one attendance cycle (either Month-wise or Date-wise like 26–25).
Now, multiple attendance cycles can be configured per employee category, as long as they match the Month Days setting.
Category-Specific Restriction Days:
Admin/HR can now set different L&A submission cut-off periods for each category.
Examples:
Category 1: Cycle – Month-wise | Restriction – 5 days after month-end
Category 2: Cycle – 26–25 | Restriction – 10 days after 25th
After the restriction period, employees cannot submit L&A requests for the previous cycle.
Benefits:
More flexible attendance cycle management across employee categories
Stronger payroll compliance by preventing post-cycle changes
Controlled entirely through the Rule Engine for accuracy and customization
Customize OT Remark Settings
Now you can set mandatory OT remarks with dropdown options to ensure consistent and standardized approvals.
What’s New:
OT approval can now include mandatory remarks.
HR/Admin defines dropdown values for managers to select from.
In ESS, managers must choose a remark from the dropdown (if mandatory) while approving OT.
This ensures consistency in justification for OT approvals.


Improved Week Off Export
Users can export week off data for a selected date range.
Export is available for employee-wise week off settings only.
The data is downloaded in Excel format.

PMS Review Workflow
PMS Feedback Process – Overview
Features Overview:
Admins can set custom feedback fields for each appraisal stage.
Fields may include questions or inputs like Activities and Recommendations.
Option to add Instructions to guide can be added to the feedback form.
Manager Access:
Managers can view their team and fill feedback forms via ESS.
The form includes:
Title & Feedback Period
KPI-based questions under KRAs
Input areas for Activities, and Recommendations
Manager Remarks
Supports daily, monthly, quarterly, and yearly cycles.
New form auto-generates daily.
Latest feedback is shown by default; older ones can be viewed via Feedback History tab.
Additional Features:
"Copy to All Stages" option for quick field setup.
Feedback reports are accessible to both managers and admins from ESS.





Email Confidential Docs via ESS
We’ve added a secure way to send sensitive documents like Payslips, TDS Worksheets, and Form 16 via ESS.
Files are emailed to employees’ personal IDs in encrypted format.
Even downloads from ESS (My Salary Details / My Tax Details) stay encrypted for security.
This protects confidential financial data from unauthorized access.
To enable encryption and secure delivery:
Open the Payslip tab and go to "Other Options" while editing settings.
Turn on encryption based on your company’s policy.



Daily Expense Claim Limit setup
A new ‘Per-Day’ approval option is now available in Expense Eligibility settings to control duplicate claims. This prevents employees from submitting multiple claims of the same type on the same day.
Now available along with existing Claim-Wise and Monthly option.
Validation Logic:
Employees are allowed to submit only one claim per expense type each day.
If they try to submit another claim of the same type on the same date, the system will block it and show a validation message.

View/Edit Validations in Monthly Input
Smart validations have been added to help Admin/HR use the View and Edit options correctly in the Monthly Input screen.
If data isn’t saved yet, the system prompts:
“Please click 'View' and save the Monthly Input first before editing.”
If data is already saved, it prompts:
“Please click 'Edit' to overwrite the saved data.”
These validations prevent accidental overwrites or incorrect actions.
Helps avoid mistakes and makes the process smoother and more user-friendly.


Control Visibility of Limits in Tax & Income Heads
A new checkbox has been added to let Admin/HR control whether deduction/income limits are visible to employees in ESS.
New Option: "Do not show Limit in TDS Declaration & Proof"
Available for both Tax Sections and Other Income Heads, similar to Tax Sub Sections
Helps Admin/HR hide limits to avoid confusion or bias during employee declarations
Provides a cleaner and more focused declaration experience for employees


Email Alerts for FnF Approval/Rejection by Department Head
Two new email notifications have been added in the Exit & FnF module to improve communication when Department Heads take action:
New Triggers:
Dept. Head Approves Resignation
Dept. Head Rejects Resignation
Process:
Emails are sent to selected recipients like Employee, Manager, HR, or custom email IDs
Keeps everyone informed during the FnF No Dues process
Ensures quicker and more transparent closure of exit cases

Breakdown of Stopped Amounts in FnF Register
The Final Settlement Register now includes a detailed view of Stop Payment history for each employee:
Displays month-wise On Hold entries with corresponding stopped amounts
Separately shows the FnF Month and FnF Amount
Final Amount includes the total of all amounts paid
Enhances payroll transparency and ensures accurate reconciliation


Change Log Added for Loan Perquisites
Change tracking is now available for all updates made to Loan Perquisite details in the employee profile:
Tracks changes to:
Outstanding Amount / Loan Amount
Monthly Repayment
Interest Rat
Each log records:
Date & time of the change
User’s IP address
Ensures a clear audit trail for compliance and easy review.

Email Alerts for Benefit Claim Actions
A new Benefit Notification Settings section has been added to manage email alerts for Benefit Claim actions:
Set up notifications for:
Employee submits a claim
Manager approves a claim
Manager rejects a claim
Choose recipients such as:
Specific employees or departments
Custom email IDs
Employee, Manager, or HR
Email templates can be previewed and customized for each event
Works just like the existing Exit Notification Settings for easy setup and consistency.
