We are thrilled to present our Monthly Update, with enhanced user-friendly tools to elevate your HR experience. Our commitment to innovation and efficiency drives us to bring you seamless updates that transform your HR processes. For the month of October 2025, we have the following enhancements.
Unassigned Shift & Week Off Email Trigger
This feature automatically sends emails to managers based on Go Rule Engine settings.
Unassigned Shift Alerts:
Sent daily within the configured date range (e.g., 17th–22nd of each month).
Lists employees without assigned shifts.
Sent to managers as per the Shift Schedule Approval Matrix.
Week Off Alerts:
Sent after each week ends (Monday–Sunday).
Lists employees without assigned week offs.
Sent to managers as per the Leave Approval Matrix.
The email format can be customized in the Email Template Setup. Each email includes an Excel attachment showing the respective employees.
Master Absenteeism Report
The report can be generated for the full financial year, with filters for Live, Separated, or All employees. It shows a month-wise count of absences based on data from the Time Consolidation process. The report can be downloaded in Excel, PDF, or Word format.
Enhanced Permission Flow
The Permission Approval Flow is now available under the Leave module for easier access. Managers can approve or reject permissions directly from Leave → Approval, instead of the Profile section.
Label updates for better clarity:
“From Hour – To Hour” → Time-Based Permission
“Single Hour” → Hourly-Based Permission
Status updates (Approved, Rejected, Skipped) appear in real time, and managers can add remarks while approving or rejecting.

Final Rating Rounding
This feature lets you show final ratings as whole numbers instead of decimals using a Go Rule Engine setting.
Rounding logic:
Values ≤ 0.5 → rounded down to the lower whole number.
Values > 0.5 → rounded up to the next whole number.
The rounded rating appears in both Excel and PDF Detailed Reports on the ESS portal.
Expense Eligibility Override
A new “Enable Eligibility Override” option is added under Expense Eligibility in Cloud. When enabled, employees can submit claims exceeding the set limit.
A confirmation pop-up appears in ESS if the amount is higher than eligibility.
On confirmation, the claim goes to the manager for review. Managers see such claims marked with a red upward arrow and a tooltip showing the exceeded amount.
This ensures flexibility for genuine claims while keeping approval control and transparency.
Bulk Expense Control
A new Expense Lock screen allows admins to lock or unlock expenses in bulk for a selected date range. Locks can be applied by Business Unit and Expense Type.
When locked, employees cannot submit claims for that expense type until the period ends.
Added filters to view All, Locked, or Unlocked expenses.
Displays key details like Business Unit, Expense Type, Lock Date, and Status.
Added “Select All Across Pages” option to apply lock/unlock actions to all records at once.
This update saves time and ensures faster period closures with better control over expense data.
Control Joining Document Access
Added a new checkbox “Show document on ESS and Mobile App” in the Joining Document window. It is checked by default, making documents visible to employees on both platforms.
HR/Admin can uncheck it to hide specific documents.
Existing documents can also be updated to change their visibility.
This gives HR/Admin better control over which documents employees can view during onboarding.
Random Quiz Feature in Learning
Current Behavior:
All learners can view and attempt every question in a quiz.
There is no option to randomize or limit the number of questions.
Enhanced Behavior:
Added a new field “Randomized Quiz Set” in the quiz configuration. Trainers can set how many questions (out of the total) each learner will see.
Example: If a quiz has 5 questions and the value is set to 3, only 3 random questions will appear. The system automatically selects the questions at random for each learner. Learners see only the randomly chosen questions in their ESS portal.
This update gives trainers more flexibility, creates varied quiz experiences, and makes learning more dynamic.


Flexible FnF No Dues Trigger
Added new trigger option Earlier, FnF started only after separation (default). But now, HR/Admin can choose when to trigger FnF No Dues:
On Employee Separation (default)
On HR Approval (after HR approves separation)
X Days before LWD (auto-trigger before last working day)
smHRt Recommended: Use “X Days before LWD” for smoother and faster closure.
External CC in Make an Offer
Added a new field “Additional CC Email ID(s)” in the Make an Offer window. Recruiters can now add external CC recipients while sending offer letters.
Multiple email IDs can be entered, separated by commas.
All added IDs will appear in the CC section of the offer email.
Additional Salary Details Field
Added a new text field “Additional Info / Salary Benefits” under Apply Job in:
Candidate Creation (ESS – Recruiter view)
Career Portal (Candidate view)
Used to mention allowances, bonuses, or special benefits. Helps capture complete compensation details during job application.
ESS Disable Setting After Separation
Added a new control to set when employee ESS and Mobile App access is disabled after separation.
Options available:
After X Days: Access auto-disables at midnight after the set number of days.
Instantly: Access is removed immediately upon separation.
Applies to separations from both ESS and Cloud. HR can override the default setting while processing a separation.
