Process for the Admin for Employee Confirmation

Introduction

Confirmation is a configuration-based module in Pocket HRMS. The workflow of this module is based on the Master settings.
The Admin needs to configure the Master settings which includes the following:
  • Confirmation Module
  • Approval Matrix
  • Dynamic Form

Pre-requisites:

✔ Admin credentials
✔ User rights
Note - Kindly contact your Admin/ HR for rights if you are not able to perform the steps below.

Steps:

How to configure the Confirmation Module:

Step 1: Go to Settings > HR.
Step 2: Select the ‘Confirmation Module’ tab.
Step 3: Select the correct options as required.
Step 4: Click on the ‘Save’ button to save the configuration.

How to configure the Approval Matrix (for 1 Employee):

Step 1: Go to Employee > Employee List.
Step 2: Select an Employee from the Employee List.
Step 3: Select the ‘Approval Matrix’ tab and select the ‘+’ icon to proceed.
Step 4: Enter the required information and select the ‘Save’ button to save the details.

How to configure the Approval Matrix (for All Employees):

Step 1: Go to Employee > Import.
Step 2: Select the option ‘Approval Matrix Manager Import’ under the drop-down menu titled ‘Select Import Template’.
Step 3: Enter the relevant details in this page and click on the ‘Save Settings’ button if you wish to save the Excel file configuration.
Step 4: Drag and drop the Excel file in the ‘.xlsx’ format inside the designated area and click on the ‘Upload File’ button to upload the Excel file.

How to configure the Confirmation Dynamic Form:

Step 1: Go to Settings > HR.
Step 2: Select the ‘Field Creation’ tab.
Step 3: Click on the ‘+’ icon to the right side of the screen.
Step 4: Enter the required information and click on the ‘Create’ button to enter the details.
Note:
  • Based on the settings configured here, the Confirmation Form in the manager’s ESS portal will change.
  • The Confirmation Module is based on the confirmation date of the employee. Hence, the Admin or HR needs to update the probation period for all employees in the Employee Master.
