Description about the leave requests approval process

This page provides the steps for approving the leave requests from your employees. You will be able to do this process using any of the following 4 methods:

• ESS

• Mobile App

• App Notification

• Email

Pre-requisites:

✔️Admin credentials

✔️User rights

Note - Kindly contact your Admin/ HR for rights if you are not able to perform the steps below.

How to approve/reject employee leaves using ESS Portal?

Step 1: Log into the ESS portal with your manager credentials. Select ‘Leave’ and then ‘Approval’ from the left side menu.

Step 2: Select ‘Leave’ tab at the top.

Step 3: Select the bullet points / radio buttons next to each request’s row to accept or reject the requests.

Step 4: Alternatively, you can select the check box next to ‘ACCEPT’ or ‘REJECT’ to approve or reject all of the requests.

Step 5: Once you are satisfied with the selections, select the button ‘Save’ to confirm the changes.

How to approve/reject employee leaves using the Pocket HRMS Mobile App?

Step 1: Log into the ESS portal with your manager credentials. Open the side menu by tapping on the ‘Hamburger Menu Icon’ and select the option ‘Leave’.

Step 2: Tap on the option ‘Approval’.

Step 3: Tap on the ‘Leave’ tab at the top.

Step 4: Approval: Tap on the ‘Approve’ button corresponding to each leave request to approve it and get the ‘Success’ notification at the bottom of the screen.

Step 5: Rejection: Tap on the ‘Reject’ button corresponding to each leave request to reject it and provide the reason for the same in the pop-up menu and select ‘Ok’ to confirm your selection.

How to approve/reject employee leaves using the Pocket HRMS Mobile App Notification?

Step 1: Log into the ESS portal with your manager credentials. Tap on the bell icon at the top right corner of the screen.

Step 2: Tap on the leave request notification titled, ‘Leave Applied’

Step 3: Approval: Tap on the ‘Approve’ button corresponding to the leave request to approve it and get the ‘Success’ notification at the bottom of the screen.

Step 4: Rejection: Tap on the ‘Reject’ button corresponding to the leave request to reject it and provide the reason for the same in the pop-up menu and select ‘Ok’ to confirm your selection.

How to approve/reject employee leaves using your official email?

Step 1: Log into the ESS portal with your manager credentials. You will get a leave approval email with the ‘Approve’ and ‘Reject’ links.

Step 2: Approval: On clicking the ‘Approve’ link, a new window or tab will open informing that you have approved the request.

Step 3: Rejection: On clicking the rejection link, a new window or tab will open where you need to enter the reason for rejection and click on ‘Save’ to reject the request.

How to generate your team’s leave report?

Step 1: Log into the ESS portal with your manager credentials. Select ‘Leave’ and then ‘My Team Report’ from the left side menu.

Step 2: Select ‘Leave Details’ tab at the top.

Step 3: Search for the employee’s name, the type of report, as well as the period for which you need to generate the report. Once selected, select the ‘Search’ button.

How to check the geo-tracking of employee in the ESS?

Step 1: Log into the ESS portal with your manager credentials. Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘Geo-tracking’ submenu.

Step 2: Click on the ‘Geo Track Manger’ tab, ‘Choose Employee’ and the Date from the respective fields.

The geo-tracking details of employee will appear for the selected date and you can see the ‘location pins’ on the map.

How to approve or reject or revoke leave request from the ESS portal as manager?

Step 1: Log into the ESS portal with manager credentials, go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Go to the ‘Approved Leave Revoke’ tab. Select the respective radio button under the ‘Approve’ or ‘Reject’ column as required, and click on the ‘Save’ button. The leave revoke request will be approved or rejected accordingly.
