Introduction

Attendance Regularization is required in cases where the employee’s attendance was either not captured in the normal manner or in cases, there were some issues with the attendance punching process. This might arise out of network connectivity issues, software bugs or even hardware failure.

In such cases, the attendance needs to be entered manually by the employee and it needs to be approved by the concerning manager. Hence, Pocket HRMS helps you in easy management of attendance regularization.

This section will cover an in-detail guide to the attendance regularization process in the following structure:

How to apply for attendance regularization using ESS Portal?

Step 1: Log into ESS portal, select ‘Leave’ and then ‘Request’ from the left side menu.

Step 2: Select ‘Attendance Regularization’ tab at the top.

Step 3: Select the ‘From Date’ and ‘To Date’ between which you need to regularize the attendance entries and select the ‘Search’ button.

Step 4: Select the ‘Update’ button corresponding to the date on which you require attendance regularization.

Step 5: Enter the ‘In Time’ and ‘Out Time’ in 24-hour format. You can also enter any remarks if you wish so.

Step 6: Select the ‘Save’ button to register your request.

How to apply for attendance regularization using ESS Mobile App?

Step 1: Log into the ESS mobile app, open the left side menu by tapping on the ‘Hamburger Menu Icon’ (3 Lines) and select the option ‘Leave’.

Step 2: Tap on the option ‘Request’.

Step 3: Tap on the ‘Attendance Regularization’ tab at the top.

Step 4: Tap on the ‘Filter’ icon at the bottom right corner of the screen and select the ‘From Date’ and ‘To Date’ between which you need to regularize the attendance entries and tap on the ‘Search’ button.

Step 5: Tap on the ‘Update’ button corresponding to the date on which you require attendance regularization.

Step 6: Enter the ‘In Time’ and ‘Out Time’ in 24-hour format. You can also enter any remarks if you wish so.

Step 7: Tap on the ‘Save’ button to register your request.

How to check attendance regularization request status using the ESS Portal?

Step 1: Log into the ESS portal, select ‘Leave’ and then ‘My Report’ from the left side menu.

Step 2: Select ‘Attendance Regularization’ tab at the top. In some cases, depending on your screen resolution, it might be under the ‘More’ menu at the end of the tabs section.

Step 3: Your previous attendance regularization requests in the current year are displayed here.

Step 4: If you wish so, you can select the relevant filters at the top and select the ‘Search’ button to find the status of a particular attendance regularization request.

Step 5: You will be able to find the requests as well as their status in the table. You will also be able to find further details about a particular request by selecting the ‘Manager Remarks’ button corresponding to that request.

How to check attendance regularization request status using the Mobile App?

Step 1: Log into the ESS mobile app, open the left side menu by tapping on the ‘Hamburger Menu Icon’ (3 Lines) and select the option ‘Leave’.

Step 2: Tap on the option ‘My Report’.

Step 3: Tap on the ‘Attendance Regularization’ tab at the top. You may have to scroll the tab section horizontally depending on your mobile screen size and resolution.

Step 4: Your previous attendance regularization requests in the current year are displayed here.

Step 5: If you wish so, you can select the filter button at the bottom right and select the relevant filters and then tap on ‘Search’ button to find the status of a particular request.

How to check attendance regularization request status using ESS Mobile App Notification?

Step 1: Log into the ESS mobile app. Tap on the bell icon at the top right corner of the screen.

Step 2: You will be able to view whether your attendance regularization request has been approved or rejected based on the notifications titled ‘Regularization Accepted’ or ‘Regularization Rejected’.

How to generate your own attendance regularization report?

Step 1: Log into the ESS portal, select ‘Leave’ and then ‘My Report’ from the left side menu.

Step 2: Select ‘Attendance Regularization’ tab at the top. In some cases, depending on your screen resolution, it might be under the ‘More’ menu at the end of the tabs section.

Step 3: Your previous attendance regularization requests in the current year are displayed here.

Step 4: For generating the report, select the relevant filters at the top and then, select the ‘Search’ button to find the status of attendance regularization requests for a specific period.

Step 5: Once you find the relevant details, select the ‘Download Excel’ button to download the report in ‘.xls’ format to your device.
