1. How to download the salary register?

Step 1: Log in to the cloud portal and select the ‘Analytics’ menu and click on the ‘Data Wizard’ submenu.

Step 2: From the ‘Select Settings’ drop down, click on the ‘Salary Register’. Enter month and year and click on the ‘Download’ button.

2. How to generate ECR report?

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Reports’ submenu.

Step 2: Under the ‘Statutory’ tab, click on the ‘PF Report’ subtab and then select ‘ECR New’ option.

Step 3: Select the ‘Month’, ‘Year’ and the ‘Category’ and click on the ‘Generate’ button.

Step 4: The ECR report will be generated and you can scroll-down the page (‘ECR New’ that is the current page) to view the ECR report.

Step 5: Click on the ‘Export ECR’ button and the ECR file will be downloaded.

3. How to download a payslip from the Reports.

Step 1: Log in to the cloud portal, select the ‘Analytics’ menu, and click on ‘Reports’.

Step 2: Select the ‘Payroll’ tab and select the ‘Payslip’ from the menu on the right-hand side. Fill in the necessary detail to get the payslip.

4. How to fetch the unassigned shift report?

Step 1: Log in to the cloud portal and select the ‘Analytics’ menu and click on the ‘Reports’ submenu.

Step 2: Click on the ‘Attendance’ tab and ‘Unassigned Shift’ from the left-hand side menu. Enter the employee code and date, then click on the ‘Download’ button.

5. How to fetch reports on the status of investment proof submissions by employees?

Step 1: Log in to the Cloud portal and select the ‘Analytics’ menu and select the ‘Reports’ submenu.

Step 2: Click on the ‘Income Tax’ tab and ‘Declaration Details Export’ from the left-hand side menu.

Step 3: Select the category and month in the respective fields. Select ‘Entry Type’ as ‘proof’ and ‘ ‘User Entry’. Then click on ‘Export Excel’.

6. How to Modify Employee Data?

Step 1: Log in to the Cloud portal, and select the ‘Analytics’ menu and ‘Reports’ submenu.

Step 2: Click on the ‘Financial’ tab and the ‘Wage View’ subtab.

Step 3: Select the required ‘Month’ and ‘Category’ from the Drop-down menu. Then you can click on the appropriate button to view or download the report.

7. How to download a report for Unpunches?

Step 1: Log in to the cloud portal. Click on the 'Analytics' menu and 'Reports' sub-menu.

Step 2: Select the Attendance tab and click on the 'Unpunches Export' subtab. Fill the required fields and click on the 'Download' button.

8. How to Generate Leave Muster Roll Wizard?

Step 1: Log into the cloud portal, click on the 'Analytics' menu, and select the ‘Reports’ sub-menu.

Step 2: Select the ‘Attendance’ tab’.

Step 3: Click on the ‘Muster Roll Wizard’ sub-tab.

Step 4: Click on the ‘Add Field’ button under the 'Select Category' section.

Step 5: Select the required categories and click on the 'Save' button. You can click on the 'Select all' or 'Deselect all' radio buttons to select or deselect all categories respectively.

Step 6: Select the values you wish to display in the report by checking the boxes against the count.

Step 7: You can change the ‘Default Values’ and fill in the ‘Custom Values’ if required for the ‘Muster Roll Component’.

Step 8: Select the ‘Type of Report Period’, ‘Employee Type’, ‘Report Option’, as well as the 'Month’ and 'Year'.

Step 9: You can download the Muster Roll Wizard from the section displayed below.

9. How to download ECR report?

Step 1: Log into the cloud portal, go to ‘Analytics’ menu and click on the ‘Report’ sub-menu.

Step 2: Under the ‘Statutory’ tab click on the ‘PF Report’ subtab and scroll down to select ‘ECR’ option.

Step 3: Select the ‘Month’ and the ‘Year’. Click on the ‘Generate’ button to view the report. Click on the ‘Export’ button and the ECR report will be downloaded.

10. How to download exit employee's (former employee’s) payslips?

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Reports’ subtab.

Step 2: Under the ‘Payroll’ tab click on the ‘Payslip’ subtab. Next, you need to click on the ‘Filter icon’ towards the upper right side of the screen.

Step 3: A pop-up will open where you need to select the ‘Inactive’ radio button and scroll down to click on the ‘Apply’ button.

Step 4: Fill in the required details in the respective fields and click on the ‘Download’ button. You can enter individual employee code or select categories to download payslips for multiple employees and the payslips will be downloaded accordingly.

11. How to generate ECR report?

12. How to create a new dashboard and add a new chart in the cloud portal?

Preconditions:

Contact the Pocket HRMS Development Team to activate the functionality that allows you to create new dashboards.

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Create Dashboard’ submenu.

Step 2: Click on the ‘Add New Page’ button, enter the ‘New Page Name’ and click on the ‘Add’ button.

Note: If you want to add a new chart to the existing dashboard, select the required dashboard name from the ‘Select Dashboard Page’ dropdown and proceed with the steps given below.

Step 3: Fill in the details such as the ‘Select Module’ according to which dashboard will be displayed and ‘Select Query’ for the parameter to be displayed under the module. Select the option from the ‘Group By field’ to group data accordingly to provide a more organized data display.

Step 4: Select the type of the chart from the various ‘Available Chart Types’ in the drop-down.

Step 5: Enter the ‘Title’ to be displayed at the top of the specific chart. Then enter the ‘Order No.’ to specify the sequence for the chart to be displayed in the Dashboard.

Step 6: Next, ‘Select Dashboard Colour’ from the drop-down as ‘Monochrome’ or ‘Multicolours’.

  1. If you select the ‘Monochrome’ option, in the ‘Select Colour’ field, you can enter a colour code. You can also click on the ‘colour square’ corresponding to the ‘select colour’ field, then select colour from the ‘colour picker’ and click on the ‘Save’ button

  1. If you select the ‘Multicolours’ option, proceed to ‘Select Palette’ for the colours to be included in the chart and click on the ‘Save’ button.

Note: Below the ‘Select Palette’ field the system will display various colours included in the selected palette.

For example, here we are creating a new dashboard named ‘Former Employees’ and adding a chart with the title ‘Separated in Category’.

Step 7: To view the newly created dashboard, go to the ‘Analytics’ menu and select the name of the newly added dashboard. As an example here, the ‘Former Employees’.

The chart created will be visible on the respective dashboard.

Note: The system will only display the information uploaded in the cloud portal. If no information is available in the cloud portal for the chart, the display will remain blank.

13. How to download leave report for an employee for a specific period, from cloud portal?

How to fetch leave details for all employees of particular month?

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Report’ submenu.

Step 2: Under the ‘Leave’ tab click on the ‘Leave History’ subtab. Select the ‘Category’ and ‘Date Range’ in the respective fields.

Step 3: From the ‘Employee Code’ field select the employee for whom you want to download the leave report. Select the ‘Employee Status’ and click on the ‘Download Excel’ button. The leave report for the employee will be downloaded for the duration you selected.

14. How to download the ESIC return for all employees?

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and them click on the ‘Reports’ submenu.

Step 2: Under the ‘Statutory’ tab click on the ‘ESI Reports’ subtab and then select the ‘ESIC Return’ option.

Step 3: Select the ‘Month’, ‘Year’, ‘Category’ and the ‘ESI Location’ in the respective fields. Click on the ‘Download Excel’ button and the ESIC Return report will be downloaded.

Step 4: You can select an employee from the ‘Employee Code’ field to download ESIC return report for an individual employee.

Note: Select the checkbox for ‘Supress ESI Amount Report’ to streamline the report by showing entries where the ESI contribution amount is zero as ‘-‘ (Hyphen/Dash Symbol).

15. How to download unpunches report?

Step 1: Log in to the cloud portal, go to the ‘Analytics’ menu and click on the ‘Report’ submenu.

Step 2: Under the ‘Attendance’ tab click on the ‘Unpunches Export’ subtab.

Step 3: If you want to download unpunches report for individual employee you can select those employees from the ‘Employee Code’ field.

Step 4: Select the ‘Category’, ‘From Date’ and ‘To Date’ from the respective fields.

Step 5: After filling in all the details click on the ‘Download Excel’ or ‘Download PDF’ button and the unpunches report will be downloaded in the respective format.

Note: You can also select the respective checkbox for the ‘Date Range Format’ and to ‘Consider Night Shift as Next Date’ if needed.

16. Where can I see or view created dashboards?

Step 1: Log into the cloud portal, go to the ‘Analytics’ and the names of all the created Dashboards will appear in alphabetical order.

Step 2: Click on the name of the Dashboard and the system will take you to the respective dashboard.

Note: You will also find the new dashboard you created in the list click on the Analytics menu.

17. How to get month-wise leave tracker report?

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Reports’ submenu.

Step 2: Under the ‘Leave’ tab, click on the ‘Leave Tracker’ subtab.

Step 3: Select the ‘From Month’ & ‘To Month’ from the respective fields also select Category and ‘Leave Type’ and click on the ‘Download’ button. The leave tracker report will be downloaded accordingly.

Note: The leave tracker report only shows the leaves that are credited by the system through the leave credit settings. Any leaves that are credited manually, will not be included in the leave tracker report.

23. How to create leave calendar for FY 2026-27?

There are three steps to be followed once the leave financial year gets transferred, shown below are steps in details.

  1. Update Weekly Off

  2. Update shifts for all employees

  3. Update Holiday list

The Above mentioned steps are explained in details in step 3: The steps to be followed after the leave financial year

Step 1: Pre-requisites:

✔️ Admin credentials

✔️User rights

Note - Kindly contact your Admin/ HR for rights if you are not able to perform the steps below.

Please note-

✔️ Once we transfer the leave calendar year then we will not be able to make further changes to last year's leave calendar.

✔️Before beginning, please ensure that the leaves for the current financial year have been cleared so that you can run the year-end processing.

✔️Before doing yearly transfer, make sure all the leaves of previous year are approved or rejected. Please check the leave configuration settings (Leave carry forward and default leave opening balance). Also, kindly download leave summary for your reference. Path: Analytics> Reports. Leave> Report wizard.

✔️For your reference, kindly download the Leave Summary Report from the following Path.

Path: 'Analytics' > 'Reports' > 'Leave' > 'Report Wizard'.

Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Reports’ submenu.

Step 2: Under the ‘Leave’ tab click on the ‘Report Wizards’ subtab and select ‘Category’.

Step 3: From the ‘Type of Leave Report’ dropdown select the leave type option such as, opening, used, Enter the ‘Leave type Value’, give 'Order numbers' like 1, 2, 3 to the leave types and master fields as required. Then, click on the ‘Download PDF’ or ‘Download Excel’ button to get the leave balance report in the respective format.

Note:

  • If you want to download leave balance report for individual employee select them from ‘Employee Code’ field or else leave the field vacant.

  • You can also download various types of leaves such as opening, used, credit or all leaves in a single report using the summary option.

Step 1: Log into the cloud portal, and go to the ‘Settings’ menu. Under the ‘Leave’ tab click on the ‘Leave Configuration’ subtab.

Step 2: Select the ‘Leave Type’ and in the the ‘d) This leave can be carried forward upto ____ Days’ field, enter the value for maximum number of leaves to be carry forwarded. Scroll down and click on the ‘Save’ button. The leaves will be carry forwarded accordingly.

2. Check the employee leave balance is correctly calculatedarrow-up-right for all leave type and employee categories. Follow the process below:

3.Check if all employee leave/on duty/Regularization is approved/rejected by manager for the current leave year, the same pending entries will not be viewed in transfer leave year

Step 1: Login to cloud portal, go to 'Leave' menu.

Step 2: Select 'Utilities' and click on 'Yearly Transfer'.

Step 3: Select the button 'Yearly Transfer'.

Step 3: The steps to be followed after the leave financial year:

  1. Update Weekly Off

To update weekly off for the new year, for updating weekly off employee wise you can follow the path below:

Path: Cloud Portal>Settings>Leave>Weekly Off>From Date, To Date range>Search>Tick on the week off days>Process>select dates>Save

Step 1: Log into the cloud portal, to the ‘Settings’ menu and under the ‘Leave;’ tab click on the ‘Weekly Off’ subtab.

Step 2: Select the date range from the respective fields and click on 'Search'. Select checkboxes for the ‘Week Days’ you want to set as ‘Week Off’ and click on the ‘Process’ button.

Note: Select the checkbox in the ‘Half Day’ column if you want to provide half day off for the respective day.

Step 3: A list of dates according to selected date range and the ‘Week Days’ will appear on the right-hand side. Select the checkboxes of dates for which you want the apply this week off settings and click on the ‘Save’ button. The week off will be set accordingly.

You can select checkboxes for the ‘Half Day’ in this section too, if required.

Note:

  • ‘WeekOff Dates’ for which week off is already processed appear in the yellow coloured background and the week off for these days cannot be edited.

  • ‘WeekOff Dates’ which appear with no background colour is not yet processed. You can edit the week off for these days can be processed.

To update weekly off through roaster, follow the path:

Path: Cloud Login>Settings>Attendance>Shift Schedule Multi>Month/Year>Select Employee>View>tick ‘Employee Code’>select roster as required>Save

Step 1: Log into the cloud portal, go to the ‘Settings’ menu and under the ‘Attendance’ tab, click on the ‘Shift Schedule Multi’ subtab. Select ‘Month/Year’ and click on the ‘View’ button.

Step 2: From the ‘Employee Code’ column tick the checkbox for the employee for whom you want to update the roster. Select the required shift for the respective dates and click on the ‘Save’ button.

Note: To update the schedule for a particular employee use the ‘Select Employee’ dropdown.

You can also do it in bulk import option. refer the process below:

Path: Cloud Portal>Attendance>Import>Weekly Off Import>enter details>map components to Excel column>Save Settings>Import Template>Upload

Step 1: Log into the cloud portal, go to the ‘Attendance’ menu and under the ‘Import’ submenu click on the ‘Weekly Off Import’ option.

Step 2: Download the ‘Sample Week Off Import’ file from the upper right-hand corner of the screen and prepare the Excel sheet accordingly.

Step 3: ‘Select Settings’ and fill in the details such as, Starting-Ending Row, From Date and To Date in the respective fields.

Step 4: Map the Section Name components to the Excel Column according to the sheet you prepared to upload.

Step 5: Unselect the check box of 'Insert without replacement' to remove old weekly off and upload updated weekly off and click on the ‘Save Settings’ button.

Note: If the settings are employee wise, the employee codes should be in the ‘Column A’ of the Excel sheet.

Step 5: Upload the file in the ‘Import Template’ field and click on the ‘Upload’ button. The weekly off details will be uploaded.

Note: Before you upload a file for import in the Pocket HRMS, you need to format the columns with a date to ‘Text to Column’ in Excelarrow-up-right sheet.

  1. Update Shifts

To update shifts of the employees for new leave year, for updating shift employee wise you can follow the path below:

Path: Cloud Portal>Settings>Attendance>Shift Schedule Multi>Month/Year>Select Employee>View >tick checkbox for the employee>select ‘WEEKOFF’ for the respective date>Save

Step 1: Log into the cloud portal, go to the ‘Settings’ menu and under the ‘Attendance’ tab and click on the ‘Shift Schedule Multi’ subtab.

Step 2: Select Employee, Month and Year in the respective fields and click on the ‘View’ button.

Step 3: Select the checkbox for the employees. Select the ‘WEEKOFF’ option from the dropdown for the respective date and click on the ‘Save’ button. The Week off will be assigned to the employee accordingly.

Path: Cloud Portal>Attendance>Import>Shift Schedule Import>download sample>fil in details>Map the components to excel columns>select other required details>Save Setting>Import File>Upload File

Step 1: Log into the cloud portal, go to the ‘Attendance’ menu, click on the ‘Import’ submenu and select the ‘Shift Schedule Import’ option.

Step 2: Download the ‘Sample Shift Schedule Import’ template from the upper right-hand corner of the screen and prepare the sheet to upload accordingly.

Step 3: ‘Select Setting’ or new, select ‘Starting Ending Row’ and ‘Employee Code Column Name’ from the respective fields.

Step 4: Map the ‘Component Name’ to the ‘Excel Column’ according to the sheet to be uploaded.

Step 5: ‘Save Settings’, ‘Import Template’ in the respective field and click on the ‘Upload File’ button. The shifts will be imported accordingly.

Note: Before you upload a file for import in the Pocket HRMS, you need to format the columns with a date to ‘Text to Column’ in Excelarrow-up-right sheet.

  1. Update Holiday

To update holidays for the new leave year, you can update the holiday list from the path below:

Path: Cloud Portal>Settings>Leave>Holiday>click ‘+’ Icon>Select Date>Description>If want the restricted/optional holiday (Yes)/if not select(no)>Save

Step 1: Log into the cloud portal, go to the ‘Settings’ menu and under ‘Leave’ tab click on the ‘Holiday’ subtab. Click on the ‘+’ icon towards the upper right corner of the screen.

Note: If the holiday is configured in your company category, location or cost centre wise kindly select the required option from the respective dropdown on the Holiday Settings page.

Step 2: Select Date, Description and choose ‘Yes’ or ‘No’ for the ‘Restricted/Option Holiday’ option as required and click on the ‘Save’ button. Holiday will be added accordingly.

For bulk import option, kindly refer the process below:

Path: Cloud Login > Attendance > Import > Holiday Upload > Download Sample > Select Settings & Dates > Upload File > Map Columns > Save Settings > Upload.

Step 1: Log into the cloud portal, go to the ‘Attendance’ menu and click on the ‘Import’ submenu and then select ‘Holiday Upload’ option.

Step 2: Download the ‘Sample Holiday Import’ file from the upper right-hand corner of the leave import page and prepare file for the upload accordingly.

Step 3: ‘Select Settings’ from the respective drop-down. Select ‘Starting - Ending Row’ as well as the ‘From Date’ & ‘To Date’ from the respective fields and upload the file you prepared in the ‘Import Template’ field.

Once you upload the sheet the system will fetch the file name in the ‘Sheet Name’ filed.

Step 4: Map the ‘Section Name’ to the ‘Excel Column’ according to the Excel file.

Step 5: Select checkbox fir the ‘Insert Only’ if required. Click on the ‘Save Settings’ button and then click on the ‘Upload’ button. The Holiday list will be uploaded.

Note: Before you upload a file for import in the Pocket HRMS, you need to format the columns with a date to ‘Text to Column’ in Excelarrow-up-right sheet.
