1. How to apply for leave through the ESS portal?
Step 1: Log into the ESS portal and click on the 'Leave’ menu and then on the ’Request’ submenu.

Step 2: Select the ‘Leave’ tab.

Step 3: Enter the relevant information in the fields and click on the ‘Add’ button. Verify the details and click on the 'Confirm Leave' button.

2. How to submit a request for attendance regularization?
Step 1: Log into the ESS portal and click on the 'Leave’ menu and then on the ’Request’ submenu.

Step 2: Click on the 'Attendance Regularization' tab and enter the range of dates and click on the 'Search' button. Click the 'Update' button against the entry you want to regularize.

Step 3: Update the time in the 'Attendance Regularization Update' pop-up window along with 'Remark' and click the 'Save' button to submit the request.

3. How to generate geo-fencing report?
Step 1: Log into the ESS portal click on the ‘Leave’ menu and then the ‘Employee Report ’submenu.

Step 2: You have to click on the ‘More’ to reveal undisplayed tabs. Once you view additional tabs click on the ‘Punch App Location’ tab.


Step 3: Select the required date range, click on the ‘Search’ button and the results will be visible. Click on the ‘Download Excel’ button and the geo-fencing report will be downloaded.

Step 4: If you want to download geo-fencing for a single employee, use ‘Select Employee’ field to select the employee and click on the search button to view the results. Click on the download button and the geo-fencing report will be downloaded for a single employee.

4. How to a cancel leave request from the ESS mobile app?
You can cancel your previous leave application through the ESS mobile app if the payroll for that month hasn't been processed yet. Even if your leave request has been approved, you can still cancel it. Your leave balance will be restored, and the leave request will be removed.
Step 1: Log into the ESS mobile app and go to the menu. Under the ‘Leave’ menu, click on the ‘Request’ submenu.

Step 2: Go to the ‘Leave’ tab and scroll down and click on the ‘Previous Leaves’ button.

Step 3: Find the leave you want to cancel and swipe left to delete this leave request.

Step 4: A notification will appear asking for confirmation to cancel the leave. Click on ‘Ok’, and the leave will be cancelled.

Note: You cannot cancel the leave if the payroll is processed for the month.

5. How to download the in and out attendance report with location data or location details?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘My Report’ submenu.

Step 2: Click on the ‘In Out Details’ tab enter the ‘Report Type’ as the ‘Detailed Report’, date range and click on the ‘Search’ button.

Step 3: The attendance data will appear and you can see the location details for punch in and punch out in the ‘Location In’ and the ‘Location Out’ column respectively.
Click on the ‘Export Excel’ button and attendance in out details along with the location details will be downloaded.

Note: In the columns ‘In Geolocation’ and ‘Out Geo location’, the location that you have geo tagged for the employee through geo tagging or geo fencing will appear.

6. How to check leave data or leave details?

Follow the steps below to download leave details from the respective portal.
A. How to download my leave data from ESS portal?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘My Report’ submenu.

Step 2: Click on the ‘Leave Details’ tab, select required details such as Leave Status, Leave Type, From Date, To Date and click on the ‘Search’ button.

Step 3: The Leave data will appear along with details such as status, from date, to date, half/full day, number of days of leave and the leave type. You can click on the ‘Download’ button and the leave data/details report will be downloaded.

Note: You can click on the ‘Leave Balance’ tab to check your leave balance.

B. How to download leave data from the cloud portal?
Step 1: Log into the cloud portal, go to the ‘Analytics’ menu and click on the ‘Reports’ submenu.

Step 2: Click on the ‘Leave’ tab and under the leave tab you can click on the various subtab such as, Muster Roll, Leave History, Absenteeism, Report Wizard, Leave Carry Forward Balance, Leave Encash and Leave Tracker to get required leave data.

7. How to apply for compensatory off or comp-off?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘Request’ submenu.

Step 2: Click on the ‘Leave’ tab from the top bar, select the ‘Leave Type’ as compensatory off or Comp-off. Fill in other details such as date range, reason and more and click on the ‘ADD’ button.
The compensatory off (comp-off) leave request will be submitted.

8. How to apply for the half day leave or to quest a leave for half day?
Step 1: Log into the ESS portal, select ‘Leave’ menu and then click on the ‘Request’ submenu.

Step 2: Click on the ‘Leave’ tab at the top. Select the required details in the respective fields such as type of leave, reliever employee, date range and more.

Step 3: From the dropdown field under the ‘From Date’ and ‘To Date’ fields select the option as ‘First Half Day’ or ‘Second Half Day’ as required and click on the ‘Add’ button and the half day leave will be applied accordingly.

9. How to find or check employee’s pending requests as manager?
Step 1: Log into the ESS portal with manager login, go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Click on the ‘Leave’ tab, here you will see all the pending leaves from your employees. You can select radio button from the ‘Accept’ or ‘Reject’ columns and click on the ‘Save’ button. The requests will be approved or rejected respectively.

Note: Similarly, you can click on the ‘Attendance Regularization’, ‘On Duty/Work From Home’ to view respective pending requests from the employees.
Step 3: You can enter the employee name in the ‘Search field’ at the upper right-hand corner of the screen to view pending requests from a particular employee.

10. How to find or check employee’s pending requests as HR from ESS portal?
You can’t check employee’s pending requests from the cloud portal. You can check employee’s pending requests from the ESS portal.
Step 1: Log into the ESS portal with HR login, go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Click on the ‘More’ and select the ‘HR Approval’ option.

Step 3: You can select radio button from the ‘Accept’ or ‘Reject’ columns and click on the ‘Save’ button. The requests will be approved or rejected respectively.

Note 1: You can enter ‘Employee Code’ in the respective field and click on the ‘Search’ button to find the requests from a particular employee.

Note 2: You can enter ‘Manager Code’ in the respective field and click on the ‘Search’ button to find the requests that are pending for approval for a particular manager.

Note 3: You can check pending requests for Leave/On Duty/Attendance Regularisation by going to respective tabs.

11. How to check or view employee’s leave balance as a manager?
Step 1: Log into the ESS portal with manager credentials, go to the ‘Leave’ menu and click on the ‘Employee Report’ submenu.

Step 2: Click on the leave tab and the you will view a list of your employees. Click on the ‘Check Balance’ button for the employee whose leave balance you want to check.

Step 3: A pop-up will open with details of leave for various types of leaves. You can click on the respective ‘View Used’ or ‘View Debited’ button to view the number of leaves used or debited for particular leave of an employee.

Note: You can also use the Search field at the upper corner of the screen to view leave balance of a particular employee.

12. How to approve shift schedule for employee?
Step 1: Log into the ESS portal with manager credentials. Go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Click on the ‘More’ and select the ‘Shift Approval’ option.

Step 3: Enter the ‘Employee Code’ for whom you want to approve shift and click on the ‘Search’ button. The employee’s shift request will appear.

Step 4: Select the respective checkboxes in the ‘Approve’ and ‘Cancel Shift’ columns and click on the ‘Save’ button. The shift schedule will be saved accordingly.

13. How to check if manager has approved the employee’s On duty request? How to view approval status of the On duty request from the employee?
Step 1: Log into the ESS portal with HR or admin credentials. Go to the ‘Leave’ menu and click on the 'Employee Report’ submenu.

Step 2: Click on the ‘On Duty Report’ tab and from the ‘Report Type’ dropdown select the status as Approved, Pending, Rejected or all as required. Select date range and click on the ‘Search’ button, the results will appear.

Step 3: You will see the details of the On duty requests along with the ‘Status’ and ‘Manager Remark’. Click on the ‘Export Excel’ button to download the report.

Note: if you want to view requests from particular employee, select that employee from the ‘Employee Code’ field at the top of the page.

14. Why am I not receiving approval e mails as a manager?
The first priority manager receives the email notification only when an employee applies for leave or requests leave.
The manager won’t get any notification when they approve the leave request.
The 2nd priority manager will get a notification when the first priority manager approves the request.
After the action of the both 1st and 2nd priority manager, whether it’s an approval or rejected, employee will get email notification along with the status of their leave.

15. How check mode of employee punch or IP address of punch machine and download in out punch details?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘Employee Report’ submenu.

Step 2: Go to ‘In Out Details’ tab, enter the date range in the respective fields and click on the ‘Search’ button.

Step 3: In the ‘In IP Address’ and ‘Out IP address’ columns you can see the IP address of the machine or mode of the employee punch attendance. You can click on the ‘Export Excel’ button to download the in out details details

16. How to check or view approved leave report?
Step 1: Log into the ESS portal with admin or HR credentials, go to the ‘Leave’ menu and click on the ‘Employee Report’ submenu.

Step 2: Go to the ‘Leave Details’ and fill in the details such as, ‘Leave Status’ such as approved, rejected, pending or more as required. Also select Leave Type, date range and click on the ‘Search’ button. The leave entries will appear and you can click on the ‘Download Excel’ button to download the report.

Note: To download leave detail report for a particular employee, select the employee from the ‘Employee’ field.

17. What is permission entry or permission request or hour to hour request /entry or short leave request/entry?
The permission entry or permission request allows employees to take short leave or breaks for a few hours. It is as a short-term time off. This could be used for purposes such as attending personal appointments, running errands, or dealing with emergencies that require an employee to step out during their working hours without taking a full leave.

18. Why does it show that leave bucket is empty?
The ‘Leave bucket is Empty’ is likely shown because you are checking your leave balance but you have already used all your leaves. That your leave balance is exhausted.

19. How to apply for on duty/work from home request?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘Request’ submenu.

Step 2: Click on the ‘On Duty/Work From Home’ tab, select required details such as date range, Date Type, time, Type and remarks in the respective fields and click on the ‘Save’ button. The On Duty/Work From Home request will be sent for approval to respective manager

20. Can a manager cancel an approved leave from the ESS portal? Or can a leave request get cancelled automatically?

Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘Request’ submenu.

Step 2: Click on the ‘Shift’ tab, fill in the details such as Month, Year, date range and select your current shift from the ‘Shift Name’ dropdown. Click on the process button and the shift schedule will appear accordingly.

Step 3: In the ‘SHIFT NAME’ column select the required shift for the respective date and click on the ‘Save’ button. The shift change request will be sent to the concerned manager.

Note:
You can select the same date in the ‘to and from days’ if you want to request a shift change for a single day.
As the shift change request is sent to manager for approval ensure that you have set a manager for the ‘Shift Schedule Entry’ in the employee’s approval matrix.

How to view list of employees under me as a manager?
Step 1: Log into the ESS portal, go to the ‘Leave’ menu and click on the ‘My Team Report’.

Step 2: Click on the ‘Monthly Attendance Summary’ tab.

Step 3: Scroll down and you will find the list of your team mate along with their Code and Names.

23. How to regularize attendance from ESS mobile app?
Step 1: Log into the ESS app, click on the ‘3 line-menu’ icon at the top left-hand corner of the screen. Click on the ‘Leave’ menu followed by the ‘Request’ submenu.

Step 2: Click on the ‘Attendance Regularization’ tab at the top bar, click on the ‘Update’ button for the particular date for which you want to regularize your attendance.

Step 3: Here you can change/modify your In Time, Out Date, Out Time, enter the Remark and click on the ‘Save’ button and your attendance regularization request will be submitted.

Step 4: You can also use the ‘Filter’ button at the lower right-hand corner of the page select the date range.

Step 5: Enter ‘From Date’ and ‘To Date’ and click on the ‘Search’ button and you will be able to view your attendance entries for selected date range.

Step 1: Log into the ESS portal with manager login, go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Click on the ‘Leave’ tab, here you will see all the pending leaves from your employees. From the ‘Attachment’ column you can download the medical certificate or any other file that employee attached with their leave request.

26. How to download the medical certificate or any file attached to the employee’s leave application as an HR?
Step 1: Log into the ESS portal with HR login, go to the ‘Leave’ menu and click on the ‘Approval’ submenu.

Step 2: Go to the ‘More’ tab and click on the ‘HR Approval’ option. All the pending leaves from employees will appear.

Step 3: You can download the medical certificate or any other file that employee attached with their leave request from the ‘Attachment’ column.

Note: To download attachment from the leave request for a particular employee or for the employee from the team of the manager select them from the ‘Employee Code’ or ‘Manager Code’ fields respectively and click on the ‘Search’ button, the leaver requests will appear accordingly.

27. What is the meaning of CL-SH in annual attendance summary or what does the CL-SH stand for?
CL – stands for ‘Causal Leave’
SH – Stands for ‘Second Half’
So, the CL-SH means, that employee has taken casual leave on for the second off.

28. How to revoke approved leave from ESS portal?
Ask employee to cancel the approved leave, the request will be sent to Manager or the Admin/HR ESS and the manager can approve employee’s cancel leave request as well as Admin/HR can approve employee’s cancel leave request from their ESS portal.

30. How to get work from home (WFH) punch or on duty record for past months for all employees?
Step 1: Log into the ESS portal with the Admin or HR portal, go to the ‘Leave’ menu and click on the ‘Employee Report’ submenu.

Step 2: Click on the ‘More’ tab and click on the ‘On Duty Report’ tab.

Step 3: Select the ‘Report Type’ (Approved/Pending/Rejected/All), Date Range (up to 31 Days) and click on the ‘Search’ button.

Step 4: Results will appear, click on the ‘Export to Excel’ button and the report will be downloaded accordingly.

31. How to download attendance report from the ESS portal?
Step 1: Log into the ESS portal, go to the leave menu and click on the ‘My Team Report’ or ‘Employee report’, depending on your role.

Step 2: Go to the ‘Monthly Attendance Summary’ tab, enter Date range in the respective fields and click on the ‘Search’ button the attendance will appear.
Step 3: Click on the ‘Export to Excel’ button and the report will be downloaded accordingly.

33. Why does the system show a "negative leave balance" error when importing leave under Leave Credit or Leave Opening with a value less than the current leave balance?
When importing leave balances under Leave Credit or Leave Opening, if the imported value is lesser than the current leave balance, the system will not upload the data and will display an error indicating a negative leave balance. This issue occurs because the employee may have existing leave requests (approved or pending) that have already been applied against their leave balance. To resolve this:
1) Check for any pending leave requests for the employee
