We are thrilled to present our Monthly Update, with enhanced user-friendly tools to elevate your HR experience. Our commitment to innovation and efficiency drives us to bring you seamless updates that transform your HR processes. For the month of April 2025, we have the following enhancements.

Manager Details Included in Reports

We have updated a new feature where the leave, on-duty and regularization reports will include detailed manager-level information such as individual manager status, approval/action date, and remarks. Earlier, the downloaded report had limited data that reflected the approval status. However, in the new enhancement, user can view and track the multi-level approvals.

Timestamp for Leave Application

The Leave Approval screen (Manager/Admin view) now shows both the date and exact time a leave request was submitted. Earlier, only the date was shown. This update gives approvers better clarity for making informed decisions.

Yearly Leave Credit Based on Joining Date

Pro-rata and mid-joining leave credit, previously limited to monthly and quarterly frequencies, is now available for yearly leave credits as well. The new setting allows leave to be credited proportionally based on the joining date, or users can define a fixed leave credit for mid-joiners. The system will apply either method based on the selected configuration, offering more flexibility and fairness in leave allocation for mid-year joiners.

Late Mark Deduction Applied Across All Shifts

Earlier, late mark deductions were calculated separately for each shift assigned to an employee. Now, with the recent enhancement of unified late rule deduction, the late marks will be counted cumulatively across all shifts unlike separate deductions per shifts, ensuring fair and consistent deductions for multi-shift employees. This is powered by the Go Rule Engine for better flexibility and easier management.

Example:

Before the update:

An employee working 10 days in General Shift (allowing 3 late marks) and 10 days in Night Shift (allowing 4 late marks) would get a total of 7 late marks for the month before deductions.

After the update (with new setting enabled):

If the monthly limit is set to 4 late marks, the employee will be allowed a total of 4 late marks for the entire month, regardless of shifts worked. Any extra late marks beyond this limit will result in deductions.

Enhanced Appraisal Report

The Appraisal Detailed Report now shows stage-wise data based on the configured settings. Only defined appraisal parameters appear in the PDF; undefined ones are excluded. If employee ratings aren’t part of the flow or not submitted, their details won’t show under the Evaluator section.

The report also includes the date and time of form submission by the employee and/or manager, depending on the appraisal flow. If the flow includes only the manager, then only the manager’s submission date and time will be displayed.

External Trainer Tagging

Now you can add/tag external trainer details to the learning programs. Earlier only internal trainer details were allowed for tagging however, in the recent enhancement enables uses to tag/add and tag external trainers to both learning programs and individual sessions. You can record key details of external trainers like name, email, contact number, and skills for better tracking and management.

Revoking Learning Programs

The learning programs can now be revoked or unassigned to employees with the recent enhancement. Previously, learning programs could only be assigned and cannot be unassigned. The recent update enables admins to unassign upcoming learning programs either individually or in bulk before they begin. However, the learning programs that are in progress cannot be unassigned ensuring its consistency and continuity in the flow.

Survey Added to Learning Programs

The Survey Module is now integrated with the Learning Module, allowing users to link feedback forms to each learning program. To set this up, choose the 'Learning Program Completion' event when configuring the form.

If no form exists, you can create one directly from the setup screen. Once linked, the form will automatically be sent to employees after they complete their learning program. Employees can fill it out through the ESS Portal, and individual feedback reports are generated as PDFs. Admins can also download consolidated feedback reports in Excel or PDF from the ‘Training Reports’ section in the Cloud Portal.

Benefit Module Added to Approval Matrix

We’ve streamlined the approval process by integrating the Benefit Module with the centralized Approval Matrix. Previously, approval managers had to be added manually within the module. Now, you can easily configure and import approval managers directly through the Approval Matrix. This enhancement enables faster, more consistent, and priority-based approval setups—saving time and improving efficiency.

Rounding Adjustments in CTC Calculator

We’ve added a Rounding Adjustment Component to all CTC Calculators in the Cloud to handle minor rounding differences that may arise due to decimal precision.

How It Works:

  • The Rounding Adjustment Component is available in every CTC Calculator.

  • It adjusts small rounding differences (typically between ₹3 and ₹6) that may occur when calculating CTC values.

  • These adjustments are automatically made in the Annual section of the selected component.

Assign Dedicated HR in Exit Module

We’ve introduced a new enhancement in the Exit Module to support the assignment of Dedicated HRs (DHRs) for employees.

Key Highlights:

  • Dedicated HR Field: A new field is now available in the employee profile, allowing the Head HR or Admin to assign a Dedicated HR to each employee.

  • Separation Approvals: When such employees submit a separation request, it will be routed to both the assigned DHR and Head HR for approval.

  • Dedicated HR View: DHRs have access to a new screen— ‘DHR Separation Approval Data’—which shows only the separation requests of their assigned employees (not company-wide data).

  • Role-Based Access: Access to this screen is controlled via Role Allocation and DHR assignment.

  • Approval Logic: The system will process the first approval received—either from the DHR or the Head HR.

Automatic NPS Rate Based on Tax Regime

A default NPS Rate deduction component has been added. It automatically limits the NPS rate to 14% for employees in the New Regime and 10% for those in the Old Regime. Admins/HR cannot change these limits. This component can also be used in other sections if needed. The restriction is applied when adding or editing employee details.

Example:

  • If an employee is in the New Regime, the NPS rate will be automatically set to 14%.

  • If an employee is in the Old Regime, the NPS rate will be automatically set to 10%. Admins/HR cannot update these rates beyond the set limits."

This feature ensures accurate and consistent NPS deductions based on the applicable tax regime.

Re-Hire Eligibility During Employee Separation

An option has been added to mark an employee as eligible or not for re-hire during separation. When separating an employee in Cloud or ESS, Admin/HR can select ‘Yes’ or ‘No’ for re-hire eligibility and add mandatory remarks. These remarks will be shown when re-hiring the employee, helping Admin/HR make an informed decision. Additionally, the final settlement (FnF) remarks will also be visible during re-hiring.
